How do I create a meeting poll for organizing large meetings?

The most challenging meetings to schedule are often the complex, multi-person ones, such as board meetings, all-hands meetings, and ELT meetings, among others. Instead of taking 1-2 hours to finalize, meetings of these magnitudes often take much longer to plan, stretching over several days, if not a couple of weeks. By the time individuals respond to your email requesting availability, the initially preferred time slots of other attendees have usually become unavailable. Email is undoubtedly an ineffective approach for coordinating these extensive meetings.

Dynamic meeting polls, such as the one offered through Cabinet, are the preferred method for both organizers and attendees alike. In the following section, we provide a brief video tutorial on how to organize a poll and view the results within Cabinet.

  1. Select Create Meeting Poll on the Scheduling tab

  2. Click and drag the times you want to offer on the calendar of your executive(s).

  3. Add a Title and the Estimated # of Attendees

  4. Click Save

    1. Asking a Question: If you would like to ask a question to the meeting attendees, such as "Will you be attending in person or remotely?" you can enter it now.

    2. Adding Holds: If you would like to place automatic holds on your Executive's actual Outlook or Google calendar, select his or her calendar on this step.

  5. Now, select Share to generate the meeting poll link. On this modal, you have several custom settings.

  6. Copy the link and paste into an email or other messaging platform. Cabinet will never send an email to the potential attendees.

  7. Each time someone responds, you will be receive an email from Cabinet letting you know about the new or updated response.

  8. As people are responding, you are able to update the options. Simply go to the Poll Results tab, select the name of the poll, and click Remove Times in the top right corner. This enables you to remove times that are tracking as unpopular. You can also add more times by selecting Edit Poll.

  9. When you are ready to send the invite, click on the calendar icon on the date & time in the Poll Results. A modal will appear which will give you a chance to review all of the data, including the name of meeting, the description, location, attendee emails, and more. You are welcome to edit any of this information prior to sending the invite.

  10. Select Send Invite and the invite will then go out via your calendar host (i.e. Outlook or Google).

  11. After the invite goes out, you can edit the calendar event at anytime through your calendar host.
